Clinical Fellowship Hour Tracking Log: Hourly, Daily, or Weekly ***EXCEL ONLY***

Use this spreadsheet to track clinical fellowship hours by entering your segment, an activity type, and the number of corresponding hours. As you record your entries using a quick input form or directly onto the Excel table, the summary will display your hours per segment and calculate the remaining hours automatically until you reach the required amount in each segment.

Steps How-to Record Your CF Hours:

1. Choose a summary table and delete the table you do not need.

Table 1. Indirect Hours, granted (by your CF employer based on direct hours worked)

Table 2. Indirect Hours, earned (when you need to track them)

2. Enter the number of hours confirmed by your CF employer that you will need to complete (brown highlighted cells).

These numbers will add up to 1,260 for the entire CF (e.g., 1,008 direct hours or 80% of 1,260 hours and 252 indirect hours). The supervision and mentorship hours will always be 18 hours for each, respectively (or 36 hours for the entire CF). These totals will be divided evenly into three CF segments.

3. Start entering your CF hours onto the table:

Two different ways to enter your hours: (1) the quick input form button or (2) or directly onto the Excel table

Either method will allow you to enter your hours in any way you want throughout your CF. Once all CF direct hours are met, including supervision, for each segment (mentoring can be recorded from the CF's perspective, such as reaching out for advice by email, meetings, etc., but it is ultimately the responsibility of your CF supervisor so recording these hours would be optional), the ENTIRE segment will automatically show as “complete!” in the summary table.

Different sorts of entries....For example:

• Enter a session by using a start and end time (e.g., 9:10 am – 9:50 am = 30 mins or 0.50 hours)
• Enter the daily total hours you work each day (e.g., 4.50 hours or 9 half-hour sessions)
• Enter the total weekly hours worked (e.g., 24.50 hours)
• Enter any other number of hours depending on how often you jot down your hours (e.g., 98 hours for October)
• Etc., etc., etc.!

This Excel spreadsheet uses VBA macros and a dynamic table with calculated fields so you don't have to calculate anything.

Technical Requirements

This file was created using Microsoft Excel 365.

All Users must: “Enable Macros” to use this file (because it uses a vba macro) and you must save the file with an .xlsm extension.

For Mac users (to enable macros)

Step 1 of 2: Under the main menu select: Excel, Preferences, then under Security, Enable macros. Note: To be prompted each time a macro is detected, select Disable all macros with notification. This setting will ask the user for permission whenever opening Excel files containing macros. 

Step 2 of 2: Make sure the file is not "Read-only." When a file is opened in "Read-only" mode, you must save it with a new file name using the file extension: .xlsm (excel macro-enabled workbook) to enable the spreadsheet.
